Job Description


The office secretary serves as an office assistant to the designated supervisor to provide secretarial services and varied office clerical tasks in a school or department setting.  Work requires responsible contacts with students, parents, and others.  Employees exercise considerable independence and judgment in performing their work.

We are currently seeking a secretary for our School Counseling office, and so specific duties would include but not be limited to welcoming visitors, enrolling new students, maintaining accurate online and physical records for students, working with Naviance (a computer system that facilitates the college application process), and other student services associated with the office (e.g work permits, etc.)


  • Strong working knowledge of business English, spelling, arithmetic, and modern office practices, procedures, and equipment.

  • Good understanding of PPS school office operations, and Central Office organization.

  • Ability to make decisions in accordance with established policies and procedures and the ability to apply these to work problems.

  • Ability to work effectively with students, administrative and instructional staff, school employees, and Central Office staff.

  • Ability to manage multiple projects and demonstrate strong organizational skills while also being flexible in schedule/duty assignments. 

  • Ability to maintain complicated records, assemble and organize data, and prepare reports from such records.

  • Ability to compose memoranda and letters from general instructions.

  • Ability to carry out continuing assignments on own initiative.

  • Ability to take rapid and accurate notes from individuals or in group meetings.

  • Skilled with Microsoft Office Suite and Google applications.

  • Excellent oral and written communication skills and interpersonal skills.

  • Ability to work independently.


  • High School or GED diploma required.  

  • Minimum one to two years experience in a busy office environment required, providing high-level secretarial/data management functions using modern office technologies.

  • Other combinations of applicable education, training, and experience that provide the knowledge, skills, and abilities necessary to perform effectively in the position may be considered.



  • Designated positions may require sustained operation of keyboard devices.

    The Portland Public Schools gives parents an array of program choices. The district as one of the first in the country to offer project-based Expeditionary Learning from kindergarten through 12th grade.

    High school students have access to one of the broadest selections of Advanced Placement courses in Maine. Qualified high school students may take up to two college courses with tuition paid by the state. A regional arts and technology high school provides hands-on courses in growth fields such as health care, robotics and “green” construction.

    More than 60 languages are spoken by students attending the Portland Public Schools. Multilingual students represent about a quarter of the district’s enrollment. The district’s diversity prepares all students for their roles as world citizens.

    Portland residents can pursue lifelong learning and professional success through the academic, jobs skills and enrichment courses offered by Portland Adult Education.

    •A Deering alumna was nominated for an Oscar as Best Supporting Actress in 2010.
    •We currently have 4 National Merit Scholarship students.
    •Over 70% of Deering students taking Advanced Placement classes earn grades that enable them to receive college credit.
    •Deering sports teams have won 23 State titles in the decade 2000 – 2009.
    •In recent years Deering students have taken service learning trips to Ecuador, Peru and Guatemala
